Delegating Tasks made easy – How you won’t have to do everything yourself in the Future

Because if you can delegate all operational activities, you have more time for your company. You can then use this time for your customers, products, the optimization of processes or for yourself as a person. You will surely think of more important things that you can do with the time you have gained.
It should not be forgotten that the tasks given are still processed exactly as you specify them. We have summarized for you in 6 points how to get a manual.
# 1 The List
For each task, you first create a list with the rough information about the activity:
Example:
- What is the job? Make a new post on Facebook.
- How often should the task be processed? Once a week, on Fridays
- How much time is available for this? 30 min.
# 2 Keywords
When you work on the task for the first time, you take notes at every step. You document the task so that you know exactly what to do next time.
Example:
Open Facebook, create post, select photos from marketing folder, highlight short text of special features, call to action.
#3 Formulation
Now that you have completed the task once, formulate the keywords while you work on the task the next time. The goal is to provide such detailed information that even an outsider can easily copy the task. After all, you want your employees to do just that.
Example:
Call Facebook.de in the browser, then log in with the following user data: user name and password. Then select the company page under Pages, prepare the post.
#4 More extensive content
Texts alone are okay, if there are complex steps or tasks, it is advisable to supplement the texts. So you can underline your task with pictures, especially screenshots. You can also use these tools to clearly define your expected results.
In addition to simple pictures, there is also the possibility to record videos in which you explain to your employees how to do it and what to watch out for. With the Chrome plugin Screencastify you can create videos from your screen. Another example would be to produce a clear graphic in which the individual steps are listed in the correct order.
For your employees, the end results that they are guided by are also useful. So your work can be adapted to your ideas and there is no nasty surprise in the end.
You can combine these texts with pictures, links or graphics for the individual tasks into a manual. This allows employees to familiarize themselves with the topic quickly and easily.
# 5 Delegate
Now you have a plan that you can hand over to every employee so that they do the job for you. Nevertheless, it is recommended that you accompany your employee during the first round and explain individual steps. In this way, any questions that arise can be clarified and supplemented in the manual.
In the second round, you only have to check the result, but you should plan that you might still have one or two questions. Now the employee should be prepared for the task. He can also teach the task to other colleagues so that you hopefully no longer have to deal with the topic.
Through your reporting, for example the range of Facebook posts, you can quickly and reliably control the quality of the work. It is also sufficient if you look through all the task reports once a month, evaluate them and find a solution to problems with your employees.
